Cancellation and Lateness Policies

Life happens, I get it! However, last minute cancellations directly affect my income. I have tried to come up with lateness and cancellation policies that give clients a little wiggle room for those hectic times, while also setting appropriate boundaries for my business.

Cancellation policy: Last minute cancellations for illness are always accepted, please do not come in sick. I am trusting clients to use this policy with honesty.

Non-illness cancellations with less than 24 hours notice are fully charged, including any last minute changes to your appointment time (i.e. changing your appointment to another date with less than 24 hours notice is considered a last minute cancellation). I simply need more than 24 hours notice to try to fill an appointment that I reserved for you.

As a one time courtesy, everyone gets a "freebie" non-illness cancellation (that will not be charged) with less than 24 hours notice. This is intended to cover family and personal emergencies, as well as to give wiggle room for clients that have extra challenges including chronic illness and neuro-diversity. There are many other practitioners that are not this generous with cancellations, please use your freebie wisely!

Lateness policy: Although I always appreciate punctuality, lateness happens sometimes despite our best intentions. If you are 5-10 minutes late to your massage, it is really not a big deal, we will simply get you directly on the table and do a brief intake during the 60 minute massage. Intakes are important in terms of catching me up on your health history and prioritizing areas of your massage, so it's better for everyone if we don't skip intakes too often. Please do let me know if you are running late so I can plan accordingly!

After 15 minutes, every minute late beyond that is deducted from your massage time (i.e. if you are 30 minutes late, you will only receive a 45 minute massage, at the full rate). This ensures that I am on schedule for the next client and that I am paid for the time reserved for your appointment.

I'll say it again, there are many practitioners that don't allow for this wiggle room. I like my policies and feel like they give clients a little extra support, while also respecting my time. The last thing I want is for massage appointments to be stressful! Thank you for understanding these policies and for following them with honestly and respect. I have the utmost respect for all the beautiful work my clients are doing out in the world!

Please Note: On Wednesdays from 1-8 pm from May to October, the Newberg Farmers Market now closes down College St. next to our clinic. Please leave extra time to find parking if you book on a Wednesday. It is possible that the Farmers Market will be noisy, so please also take this into account when scheduling.

Illness Considerations: 24 hours prior to your appointment, you will receive a reminder email asking if you are experiencing any symptoms of COVID-19 or other illness. *If you are experiencing any cold or flu like symptoms, even if you believe it is allergies, please do not come in!* While I appreciate notice, there will be no charge for last minute illness cancellations. Please stay home if you have any illness symptoms.

Face Masks: Starting April 3rd, 2023, Oregon lifted the face mask requirement in health care settings. For now, during your massage, I will continue to wear a face mask, which helps protect you. I am no longer requiring face masks for clients. However, if clients begin to come to their massages with illness symptoms, I may have to change this policy. Again, please do not come in if you are sick! For the TMJ Protocol, we will discuss the risks of intra-oral work on an individual basis. 

Cleaning Procedures: Prior to and between appointments, I will clean all frequently touched surfaces. At the clinic, we are currently using a natural Seventh Generation anti-microbial cleaner that is approved for this use. This cleaner uses thyme oil to kill viruses and bacteria. We are hoping this lower-toxicity product will work well for our more sensitive patients and clients. As always, fresh clean linens are provided for each client.
